ViaRout Rent A Car

Privacy Policy

Last updated: 31 October 2026

This policy explains what we collect when you book with ViaRout Rent A Car and how we use it. We keep it simple: we only collect what we need to arrange your rental.

1. Information we collect

When you send a booking request we collect your name, phone number and the details of your reservation: car, dates and times, pick-up and return location, the delivery address if you choose delivery, any extras, and your notes. You may also give us your email and flight number.

At pick-up, ViaRout checks your driving licence and your passport or ID.

2. How we use it

We use your information to confirm availability, prepare your quote, contact you about your rental, hand over and collect the car, and meet our legal, insurance and tax obligations. We do not use it for automated decisions.

3. Messaging and how we contact you

Bookings are confirmed over WhatsApp, so the reservation details you submit are sent through WhatsApp's service (Meta) when you choose to message us. Your use of WhatsApp is also governed by their own privacy terms. We may also contact you by phone or email about your booking.

4. Where your data is stored

Booking requests from the website are stored in our booking database, which runs on Airtable, and in ViaRout's own booking system on Bluehost's servers, with access limited to the ViaRout staff who handle rentals. The website itself is hosted by Bluehost, which handles the technical data every visit sends, such as your IP address and browser, to deliver the pages. We take reasonable measures to keep your information secure.

5. Who processes your data

We do not sell your data. These service providers process it on our behalf, each only for the part they run:

  • Airtable stores booking requests from the website.
  • Meta carries your booking message through WhatsApp when you choose to send it, and shows our Instagram posts if you tap to load them. Meta also measures our ads through the Meta Pixel (see Cookies below).
  • Google shows the map of our office, which loads when you reach our contact section. The reviews on our home page, when shown, also come from Google: our server asks Google for them and for their authors' pictures, so your browser does not contact Google to show them.
  • Bluehost hosts the website and our booking system.

Beyond them, we share your data only where necessary: with our insurer in the event of a claim, and with the authorities where the law requires it.

6. Retention

We keep booking records only as long as needed to provide the service and to meet legal, accounting and insurance requirements, after which they are deleted or anonymised.

7. Your rights

You can ask us to see, correct or delete the personal information we hold about you. Contact us using the details below and we will respond within a reasonable time.

8. Cookies

Apart from the Meta Pixel below, this website sets no cookies of its own and counts no visits. The Instagram posts stay unloaded until you tap them; the Google map loads when you reach our contact section. Once loaded, Instagram (Meta) and Google may set their own cookies under their own privacy policies. You can clear or block cookies in your browser settings.

We use the Meta Pixel, Meta's tool for measuring ads. If your device is set to a time zone in the European Union, the European Economic Area, the United Kingdom or Switzerland, or to one that names no place, such as UTC, a banner asks first on your first visit: until you tap Accept, the Pixel does not load. Elsewhere it loads when you open a page here, and no banner asks. Once it loads, your browser loads Meta's script, which tells Meta each page you open here, with your IP address, your browser's details and the page's address, so we can see which of our ads bring visitors and our ads can be shown to people who have visited. If you are signed in to Facebook or Instagram in the same browser, Meta can link these visits to your account. The script saves a cookie named _fbp on this website to recognise your browser on later visits, and one named _fbc when you arrive from one of our ads. Meta handles this data under its own privacy policy.

To turn it off, wherever you are, tap Cookie settings at the foot of any page: Decline stops the Pixel and deletes the _fbp and _fbc cookies. Your answer is kept in your browser's storage under the name viarout-consent, not in a cookie, and you can change it the same way.
